Seating Arrangement: A U-shaped Conference Table, or Circular room setup encourages open discussion and visibility
Visual Aids: have whiteboards, a flip chart, or a screen available for displaying the Epics & Capabilities template and backlog of items
Technology: ensure there is adequate internet access and that participants can access the Epics & Capabilities canvas/template.
Choose a reliable platform that supports collaboration tools like screen sharing and real-time editing. Microsoft Teams or Zoom will work fine, and Google Meet, Webex and other tools are also great choices.
Test the technology beforehand to avoid technical issues during the meeting.
If you use an online canvas like Miro, Mural, or Lucid Charts, make sure everyone has access to the board prior to the meeting.
Stakeholders should have a basic understanding of the items in the backlog that need to be WSJF’ed – yes, we made WSJF into a verb. Having a sense of the relative Value, Urgency, Safer/Better opportunities and the effort to complete the work will enable them to score items effectively during the exercise.
They will not need to know dollar amounts or specific numbers. We’ll be using the Fibonacci sequence of numbers to provide relative estimations for each of the values we’ll score.
